Job Description
The qualified applicant will be placed in Chris Hani District. This job offers a level 7 salary which is an all-inclusive remuneration amounting to R 242 475 up to R 285 630. The Administration Officer vacancy at Frontier Hospital requires all candidates to hold a Grade 12 certificate as the minimum requirement or any other equivalent qualification accompanied by 10 year experience in the relevant field. However, if you hold a national diploma or degree in office administration or public administration, then applicants are only required to have 0 – 2 year experience in administration.
This position required all candidates to have the following knowledge and skills:
- Knowledge of public administrative processes and systems
- Knowledge of public service policies, regulations and procedures
- Good written and verbal communication skills
- Good interpersonal skills
- Good computer skills
- A valid driver’s license. It is not mandatory but will be an added bonus
Once you are qualified for the job, below are some of the duties you will be performing:
- Be responsible of the provision of registry administrative services such as supervising the record flow correspondence and mail
- Proper management of routine outgoing and incoming correspondence
- Tracking of files and routine check in the registry
- Type documents (draft routine correspondence)
- Open new volumes or files as well as update through recording on the filing system
- Keep track of distribution list of general correspondence
- Constant updating of the filling system
- Store and retrieve correspondence and institutional data
- Store master copies of Internal communication and circulars
- Update and check electronic information or files
- Archive closed volumes
- Constant updating of information on computer for the sake of reporting
- Provide reprographic services and office automation
- Allocate faxes, telephones, and photocopiers to all users as necessary
- Handle queries from suppliers and users with regard to application of various operational problems, equipment and render advice
- Arrange for the upgrading and replacement of telephone infrastructure
- Process telephone billings
- Provide transport management service such as allocating vehicles to departmental officials and drivers
- Supervise the utilisation of drivers
- Confirm and make vehicle bookings for hospital officials attending conferences, meetings or workshops
- Investigate abuse, accidents and misuse of official vehicles
- Control usage of official vehicles
- Take care of hospital official transport services
- Monitor physical and human resources
