  • The candidate must be a Senior Certificate or Grade 12.
  • Can adapt fast and work based on the schedule by office requirements.
  • Have appropriate knowledge of Departmental Policies and Regulations. Such as government legislation, the Minimum Information Security Standards Act, and general functions of office administration.
  • Have basic skills of communication.
  • Have basic skills in computer literacy, basic numeracy, and correspondence.
  • Good interpersonal relationships and organizational skills.
  • Have good basic financial management skills.
  • Have a professional demeanor, presentable, and be resourceful.
  • Creative, able to work under stressful conditions, and have initiative.
  • Able to communicate at all levels and with people from many backgrounds.
  • People-oriented, trustworthy, hard-working, and have self-motivation in doing something better.
  • Assertive, able to work independently or with a little supervision.

Duties and Responsibility

Becoming a receptionist in a government office means being ready for lists of tasks and responsibilities. There are some of them.

  • Do reception services to the Office of the Minister
  • Receive telephone and electronic calls and messages. Then direct them to the right division.
  • Liaise with managers and related stakeholders, also with clients as directed.
  • Receive visitors and engaged them.
  • Keep a guest book for every day’s visitors.
  • Ensure the cleanliness of the reception area
  • Control the access to the Office of the Minister and support the security profile of the office.
  • Provide and arrange refreshments for clients and visitors as directed.
  • Receive the flow of information and documents in the office. Then administer those documents as directed.
  • Provide general administration and support services to the Office of the Minister.
  • Prepare documents and distribute them as directed.
  • Answer questions and calls related to the office.
  • Store and trace every document and file. Both electronically and manually.
  • Provide the procurement process of stationery, office supply, and office equipment.
  • Assist in the processing of claims for accommodation and transportation on official travels.
  • Assist with the administration of leave for the staff in the Office of the Minister.
  • Arrange meetings and prepare documentation for the meetings. Also, assist in organizing logistics for it.
  • Manage general secretarial services in the office.
  • Execute every claim of accommodation, rental cars, and transportation of official travel.
  • Manage the effective flow of pieces of information and documents.
  • Receive submissions and direct them to relevant managers within the Office of the Minister.
  • Ensure the management and safekeeping of documentation.
  • Respond to all inquiries received from internal and external stakeholders.
  • Draft the documents as required.
